Instructions for validation and submission of FG 2018 camera-ready papers

Please read these instructions carefully and follow them exactly to minimize problems with production of the conference proceedings.

The deadline for final submission (completion of all steps below) is March 7, 2018 at 11:59pm Pacific Daylight Time. This deadline will not be extended. Papers that arrive after the deadline may not appear in the conference proceedings, and may not be placed in IEEE Xplore.

Note: All FG papers that are submitted on time, which are compliant with IEEE Xplore, and for which the IEEE copyright has been completed, will be placed in IEEE Xplore shortly after the meeting. Only those papers that are placed in IEEE Xplore can be considered archival.

There are three steps to completing your final FG 2018 paper submission:

1) Prepare your camera-ready paper using the provided template: Latex template or Word template.

2) Validate your camera-ready paper using IEEE PDF eXpress.

3) Submit the validated PDF, fill paper information, and complete the copyright form via the IEEE supported Author Submission Site:!/auth/login?ak=1&pid=5o13tjQP5RQmx6F3ZwXPox

These steps are detailed below.


Please prepare your final version using the IEEE provided camera-ready paper templates.

[IMPORTANT NOTE 1] No Page Numbers. Pages MUST NOT be numbered. The title and the author list of an accepted paper CANNOT be changed in the final manuscript.

[IMPORTANT NOTE 2] Copyright Notice. A copyright notice must be necessarily included at the bottom of the first page of your paper:
a). Case#1: For papers in which all authors are employed by the US government, the copyright notice is:
U.S. Government work not protected by U.S. copyright
b). Case#2: For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:

c). Case#3: For papers in which all authors are employed by the European Union, the copyright notice is:

Latex users can add the following lines just after \begin{document} in order for the copyright notice to show up. An example for Case#4 is given below.

MSWord users can use: "Insert -> Text box", and insert the appropriate copyright notice in the texbox, and place the box (without border) at the bottom left on the first page.

[IMPORTANT NOTE 3] Page Limit. For all the accepted papers in the final submission, their categories (short or long) must remain unchanged, which means short cannot be changed to long, and long cannot be changed to short either. The templates can be used for both short paper and long paper. For Short Paper category, papers may be up to 4 pages plus 1 page references, and for Long Paper category, papers may be up to 8 pages. Papers (Long Paper category) longer than 7 pages will be subject to a page fee (100 USD) for the extra page (note that the extra page fee will be charged during the registration phase). Papers that are longer than 8 pages will not be processed and will not appear in the conference proceedings or on IEEE Xplore.

[IMPORTANT NOTE 4] File Size. There is a strict size limit of 10 MB (10,485,760 bytes) for PDF files for both short and long paper categories in the conference proceedings. If your paper is larger than this, you are probably using very large images in your figures. As a rule, your images will look fine at 600 pixels per inch and you should down-sample the images used in your figures accordingly. Smaller PDF files are also validated more quickly by PDF eXpress.


IEEE requires that all papers to be entered into the IEEE Xplore digital library meet the IEEE style guidelines. Papers that do not meet these guidelines will not be placed in Xplore. This is IEEE policy.

A. Login to the PDF eXpress website:
B. If you are a new user of PDF eXpress, click on the "New Users - Click Here" link.
C. Enter the following details:
    a) Conference ID: 41977XP
    b) Your Email Address
    c) Your Password
    d) Continue to enter information as prompted
D. Click on the "Create New Title" option
    a) Enter title of your paper
    b) Submit the PDF file you wish to validate, or submit the MS-Word source files you wish to convert.
E. Important Note:
    a) A majority of the failed validations are due to font embedding issues. If your validation fails, make sure that embeddable fonts are used exclusively, including the captions and text of figures and tables. If you Google "pdf express problem" you will find lots of advice on how to fix validation problems.
    b) You cannot skip the validation step. IEEE will revalidate every file we submit for inclusion in IEEE Xplore, and will not fix or ingest files that fail validation. If it’s not ingested, it is not archival.
    c) PDF eXpress does not collect the papers. After validating your paper, you must still upload it to the camera-ready paper collection website (i.e. the Author Submission Site, as described in the following STEP 3) for production.


Deadline: March 7, 2018. The deadline for all FG 2018 papers is March 7, 2018 at 11:59pm Pacific Daylight Time. This deadline will not be extended. Papers that arrive after the deadline may not appear in the conference proceedings, and may not be placed in IEEE Xplore.

A. Login to the Author Submission Site:!/auth/login?ak=1&pid=5o13tjQP5RQmx6F3ZwXPox
B. Since this site is different from the EasyChair system in reviewing phase, you should first "Create Account" using your Email address.
C. After login using your account, you will go to the first screen "Preparation and Submission Information" which shows details about Paper Specifications, Important Deadlines, etc. Press the "Next" link in the top-right corner to take you to the "Copyright Release" page.
D. [Important!] In the "Copyright Release" page, fill the required information (Author Full Name, Author E-mail, Paper Title) and click "Submit Copyright" you will enter the copyright form submission process. There are 5 steps to complete the form submission and please carefully read the instructions in each step. In "Step 1: Confirm article information" you can edit the information of Article Title and Authors (please provide the full author list as shown in your final paper). By making appropriate choices in Step 2 and Step 3, in "Step 4: Complete the publication agreement" you will need to confirm the content of the Copyright Form and sign your name at the bottom of the form. By press "Confirm" button, it will take you to Step 5 where it states that you have completed the IEEE Electronic Publication Agreement and a copy has been sent to your email.
E. Back to the Author Submission Site, press "Next" link in the top-right corner to take you to the "Paper Details" page. In this page, you need to fill Paper ID (please use the submission ID in review phase), Submitter Full Name, Submitter E-mail, Paper Title, Abstract, and Keywords.
F. Press "Next" link in the top-right corner to take you to the "Add Authors" page. Following the instructions and using "+" button in the left to add new authors, you can fill the full author list. Make sure that all the authors included in the camera-ready paper also appear in their proper order in this page. Please check that all author names are spelled correctly and are in the correct order.
G. Press "Next" link in the top-right corner to take you to the "Final Paper PDF File Submission" page. Please upload the camera ready PDF file (must be the latest IEEE PDF eXpress verified version) in this page. Since the supplemental materials were only used for reviewing purpose and will not be part of the conference proceedings, you don’t need to upload the supplemental files. By clicking "Submit" link in the top-right corner, you will complete the whole procedure of camera ready submission.

[IMPORTANT NOTE 5] Please be aware that once you submit your IEEE Electronic Copyright form, you will not be able to go back and make changes. IEEE does not have any mechanism to redo an electronic copyright form and you will not be able to complete more than one form per paper. As such, please be sure that the title, author list, etc. are correct and final on the IEEE Electronic Copyright Form prior to completing and submitting the copyright form. Papers without completed copyright forms will not appear on the conference proceedings disk and will not be enrolled in IEEE Xplore.

Instructions of paper submission for review

Submissions to FG 2018 should have no substantial overlap with any other paper already submitted or published, or to be submitted during the FG 2018 review period. All persons who have made any substantial contribution to the work should be listed as authors, and all listed authors should have made some substantial contribution to the work. All authors should be aware that the paper is submitted to FG 2018.

Papers presented at FG 2018 will appear in the IEEE Xplore digital library, including workshop papers. If a paper is accepted,it is assumed that an author will register and attend the conference to present the paper. (Papers that are not presented will not be published in IEEEXplore.)

The reviewing process for FG 2018 will be "double blind" and so the submitted version of the paper should be appropriately anonymized not to reveal the authors or authors'institutions. Authors will have the opportunity to address issues raised by the reviewers during a rebuttal period before the final decision is made.

The submission process will be handled through the EasyChair System.


Traditionally, FG had a single category - Long Paper which is up to 8 pages. This time in FG 2018, a new category (Short Paper) is added.  Authors should carefully consider the category before submitting a paper.

- Short paper: 4 pages + 1 page for references

- Long paper: 8 pages (including references)

The main difference between the two is in the size of contributions and not in their importance or technical quality. In other words, a long paper is expected to have a greater contribution than a short paper. More specifically:

- Long papers should present original reports of substantive new research techniques,findings, and applications. They should place the work within the field and clearly indicate innovative aspects. Research procedures and technical methods should be presented in sufficient detail to ensure scrutiny and reproducibility. Results should be clearly communicated and implications of the contributions/findings for FG and beyond should be explicitly discussed.

- Short papers (4 pages + 1 page for references) should present original and highly promising research or applications. Merit will be assessed in terms of originality, importance, and technical quality more so than scope and maturity of the work.

Please note that both long and short papers will undergo the same review process. Rejected long papers will NOT be considered for acceptance as short papers, except for rare cases when reviewers unanimously make this recommendation.

Both long and short papers can be accepted for oral or poster presentation.


Submissions may be up to 4 pages plus 1 page references for Short Paper category, and up to 8 pages for Long Paper category in the conference paper format. Papers (Long Paper category) longer than 7 pages will be subject to a page fee (100 USD) for the extra page (note that the extra page fee will not be charged during the submission phase). No page fee is applied for the Short Paper category.

Submissions have to be in pdf format, and are limited to a 10MB file size for both categories.

Supplementary material (images, video, etc.) may optionally be submitted with papers, but be sure to maintain anonymity,including the file properties or other hidden text. The entire submission (paper + supplemental material) has a file size limit of 50MB. The supplemental materials will not be part of the conference proceedings, so they are only there to aid the reviewing process. Reviewers are not required to view the supplemental material (though most reviewers are likely to do so), so any information critical to understanding the work should be in the main paper.

FG 2018 will be using the IEEE PDF eXpress for enforcing the requirements for papers to appear in IEEE Xplore. The final versions of all papers accepted for publication must adhere to the IEEE Xplore PDF specifications.

* Prepare your manuscripts as per the IEEE specification using the following templates for both Long Paper and Short Paper:

         Latex template or Word template

* Carefully proofread your submission.
* Submit to the FG 2018 EasyChair.

All supplementary material must be self-contained and zipped into a single file. The following formats are allowed: avi, mp4, pdf, wmv. Note that reviewers will be encouraged to look at it, but are not obligated to do so.


FG 2018 does not consider a paper on as a dual submission. This policy is adopted from CVPR 2017's Dual/Double submission policy.

ANONYMIZATION POLICY (adapted from CHI 2018)

Authors should remove author and institutional identities from the title and header areas of the paper. There should also be no acknowledgments. Authors can leave citations to their previous work unanonymized so that reviewers can ensure that all previous research has been taken into account. However, they should cite their own work in the third person (e.g., "[25] found that...")
